Enterprise-grade quality at right-sized cost
Engagement models, what drives price, and an honest comparison against the other kinds of provider you are probably evaluating — so you can decide quickly whether we fit.
Four ways to buy
Most clients start with one and move to another as the work changes shape.
Fixed-scope assessment
A short, fixed-price Plan engagement — opportunity assessment, readiness diagnosis, target architecture and business case. Best when you need to know whether an initiative is worth funding before you fund it. Frequently bought standalone.
Fixed-scope delivery
A defined increment with acceptance criteria and a fixed price. Best when requirements and integration surface are well understood — usually after a Plan phase has removed the unknowns.
Dedicated team
A named, senior-weighted squad working continuously in your environment on a rolling basis. Best for ongoing product development and multi-increment AI roadmaps where scope evolves faster than a fixed bid can track.
Staff augmentation
Specific specialist skills into your existing team under your management. Best for hard-to-fill roles — data architecture, security engineering, senior QA automation. See IT Staff Augmentation.
What actually drives the number
We are not the cheapest option available and we do not try to be. Right-sized means priced for a mid-market budget while delivered to a standard that does not require doing it twice. Here is what moves a quote, so you can shape scope before you receive one.
- Integration surface. Consistently the largest driver, and the one most estimates understate. How many systems, how well documented, how modern their interfaces.
- Data readiness. Whether the data exists, is accessible, and is trustworthy enough to build on. Remediation is often the real project.
- Compliance and review overhead. Regulated environments carry genuine, legitimate cost in evidence and gating. We would rather price it than discover it.
- Adoption difficulty. Workflow change and training scale with how many people are affected and how entrenched the current process is.
- Seniority mix. Priced honestly. The seniority quoted is the seniority delivered.
Where we will tell you not to spend
If a commercial product solves your problem adequately, we will name it, even though configuring it earns us less than building. If the data is not ready, we will scope the data work rather than build a model on top of a foundation that will embarrass both of us.
Why Xcelacore AI — and when someone else is the better call
You are almost certainly comparing us against one of these three. An honest read on each.
| Compared with | What they do well | Where it tends to hurt | Xcelacore AI |
|---|---|---|---|
| Large systems integrators | Scale, global reach, brand comfort for a board, and genuine capacity for multi-year enterprise transformation. | Enterprise pricing regardless of your size, rotating teams, generic playbooks, and senior people who sell but do not deliver. | Mid-market pricing, a named senior team you meet first, and decisions made by people who understand your business. Choose the integrator if your program genuinely needs thousands of people. |
| Offshore development shops | Lowest hourly rate and fast capacity for well-specified, self-contained work. | Specification burden falls on you, time-zone latency on decisions, thin architecture ownership, and quality cost that surfaces after go-live. | Senior-weighted teams with overlap on your clock and architecture accountability we hold. Choose offshore if your requirements are airtight and you have the internal capacity to manage delivery. |
| AI-native startups | Genuine frontier fluency, speed, and impressive prototypes. | Little production, integration or compliance experience; no track record through a full lifecycle; real business continuity risk on a multi-year system. | Frontier fluency plus a decade of shipping mission-critical systems. Choose the startup if you want an experiment and can absorb it not reaching production. |
Commercials and fit
What is the smallest engagement you take?
A fixed-scope Plan engagement is the usual entry point and is deliberately small — typically a few weeks. We would rather start there than take a large build on assumptions neither side has tested.
Do you work fixed-price or time-and-materials?
Both, chosen to match how well the scope is understood. Assessments and well-defined increments are fixed-price. Evolving product work and multi-increment roadmaps run as a dedicated team, because a fixed bid on unclear scope gets priced with a risk premium you end up paying for.
Are you a good fit for organizations with no internal engineering team?
Yes. We take the full lifecycle and identify a business owner rather than a technical one. Adoption and training carry more weight in that situation, so change management is scoped in from the start rather than offered later.
Can you respond to a formal RFP?
Yes. Send it through Request a Proposal with your deadline and we will confirm whether we are bidding within two business days — including telling you if we are not the right fit, which saves us both the exercise.
